Health, medical, injury and welfare information
To help us keep players safe, we may collect relevant health, medical or welfare information, including:

- When you complete a form on our website
- When you complete a Meta/Facebook, Instagram, Google or other advertising lead form
- When you register for trials, camps, academy sessions, goalkeeper sessions, girls programme, tournaments or events
- When you communicate with us by email, phone, WhatsApp, SMS, social media or in person
- When you use SportMember or another booking, registration, attendance, communication or payment system used by EFA
- When you attend training, matches, trials, tournaments, camps or events
- When coaches complete assessments, attendance records, development notes or incident reports
- When you make a payment, receive an invoice or request a refund
- When you interact with our website, adverts, online content or social media pages
- When information is provided by coaches, staff, leagues, venues, tournament organisers, insurers or safeguarding bodies
4. Why we use personal information
We use personal information to operate EFA safely, professionally and effectively.

Special category information
Some information, such as health, medical, injury or welfare information, is classed as special category data. We only use this where necessary, for example to keep players safe, respond to emergencies, manage injuries, support safeguarding, arrange appropriate care, or meet insurance and legal requirements.
6. Children’s information
As a youth football academy, we process information about children and young people. We aim to handle children’s information fairly, carefully and transparently.
Most information about children is provided by parents or guardians during trial booking, camp booking, academy registration, membership setup, SportMember registration, event participation or communication with EFA.
We only collect information that is relevant to the child’s participation, safety, development, welfare, safeguarding and administration.
Where appropriate, we may explain to players in simple language how their information is used, especially in relation to photos, videos, assessments, attendance, behaviour expectations and communication.
Parents and guardians should ensure that the information they provide about their child is accurate and kept up to date, especially medical, emergency contact and availability information.
7. Photos and videos
We may take photos and videos during training sessions, matches, camps, trials, tournaments and EFA events.
How photos and videos may be used
- Player development and coaching feedback
- Internal coach education and session review
- Parent updates and team communications
- Website, social media or promotional content, where appropriate consent has been obtained
- Event, tournament or academy media coverage
- Celebrating player, team or academy achievements
Marketing use
We will only use identifiable photos or videos of children for marketing or promotional purposes where appropriate permission or consent has been obtained from the parent or guardian.
Withdrawing consent
You can withdraw consent for future use of your child’s image by contacting us at info@efalondon.com. Please note that we may not always be able to remove images that have already been printed, published, shared by third parties, or included in historic materials.
8. Marketing communications
We may contact parents or guardians about EFA programmes, trials, camps, goalkeeper sessions, girls programme, academy places, tournaments, international opportunities or related football activities.
We may send marketing by email, SMS, WhatsApp, phone, social media or online advertising where we have consent or where we are otherwise permitted to do so by law.
You can opt out of marketing communications at any time by using the unsubscribe option, replying to the message, or contacting us at info@efalondon.com.
Important operational messages, such as training updates, fixture changes, cancellations, payment reminders, safeguarding notices, emergency information or programme administration, are not considered marketing and may still be sent where necessary.
9. Who we share information with
We only share personal information where necessary and appropriate.
We may share information with:
- EFA coaches, staff, administrators and authorised volunteers
- Parents or guardians, where appropriate
- SportMember or other systems used for registration, attendance, payments, communication or administration
- Payment processors, banks and accounting providers
- Leagues, competition organisers, tournament organisers and football governing bodies
- Venues, schools or facility providers, where required for safety, access or organisation
- Insurance providers in relation to injuries, claims or incidents
- Medical professionals or emergency services where necessary
- Safeguarding authorities, local authorities, police or regulators where required
- Travel, accommodation or event providers for trips and tournaments
- Website, email, CRM, analytics and advertising service providers
- Meta/Facebook, Instagram, Google or advertising platforms when you interact with our adverts or lead forms
- Professional advisers, including legal, insurance or financial advisers
We do not sell personal information.
10. International events and travel
Some EFA activities may involve international travel, overseas tournaments, accommodation providers or football partners. For example, this may include tournaments, football tours, camps or training events outside the UK.
Where necessary, we may share limited personal information with travel providers, accommodation providers, tournament organisers, insurers, football partners or emergency contacts to organise and safely manage participation.
This may include player name, date of birth, age group, parent/guardian contact details, emergency contact details, medical information, passport or travel information where required for the specific trip or event.
If personal information is transferred outside the UK, we will take steps to ensure that appropriate safeguards are in place, where required by data protection law.
11. How long we keep information
We keep personal information only for as long as necessary for the purpose it was collected, including for legal, safeguarding, insurance, financial and administrative reasons.
